Privacy policy

How Polska Marine, part of UX Habitat Pte Ltd, handles personal information and documents supplied through its vessel registration website and client portal.

Effective 16 October 2026

Who handles your information

Polska Marine is part of UX Habitat Pte Ltd. This policy explains how information is handled when you use our website, apply for vessel registration, upload documents, make a payment or communicate with us.

For privacy questions and requests, contact info@polskamarine.sg or call +65 8939 8561. Please describe your request and, where relevant, provide your application reference. Do not send additional passport copies unless we ask for them.

Information involved in an application

Depending on your application, we collect owner names, dates of birth, passport information, contact details, addresses and company details; vessel and engine information; documents and photographs you upload; application references and progress; payment status and transaction references; and messages you exchange with our team.

Our website and service providers also process technical information needed to operate the service, such as session identifiers, IP addresses and service logs. Guest applications use a browser session to let you return to your application.

Why we use it

We use information to review and prepare your registration application, clarify missing details, submit information needed by the registration authorities, manage optional MMSI requests, process and reconcile payments, communicate about your application, arrange card collection or delivery, and administer and protect our services.

If you provide another person’s personal information, ensure you are authorised to provide it for these purposes and make this policy available to them.

Who receives it

Relevant information may be accessed by our team and disclosed to the registration authorities and people or providers assisting with your application, payment or agreed delivery. We use Supabase for application accounts and document storage, Airtable for application administration and document copies, Vercel for hosting, Stripe for card payments, and our email provider for communications.

Card payments are processed through Stripe. Your application records contain payment status and transaction references. Information needed to handle a payment may also be processed by payment providers and financial institutions.

These providers and the registration process may involve processing outside Singapore, including in Poland. Where information is transferred overseas, applicable data-protection requirements continue to apply.

Storage, retention and protection

Application documents are stored in private Supabase storage, and copies may be attached to the team’s Airtable application record. Access is intended for authorised people involved in providing and administering the service.

Information is retained while needed for the application, related support, accounting, disputes and other business or legal purposes. Retention depends on the type of record and the purpose; this website does not promise a fixed automatic deletion date. Contact us to discuss a deletion request and any records that must still be retained.

We take reasonable steps to protect personal information. No internet or storage service can be guaranteed completely secure. Protect your login details and application reference, and take care when using a shared device.

Access, correction and withdrawal

You can contact us to request access to or correction of your personal information, raise a privacy concern, or ask to withdraw consent for a use of your information. We may need to verify your identity and clarify the request. Requests are subject to applicable requirements and exceptions.

Withdrawing consent or withholding information needed for registration may prevent us from continuing the application or providing part of the service. We will explain the relevant consequences when handling your request.

Sessions and payment technology

The website uses browser storage and session technology for accounts, guest access and application continuity. Stripe may use its own technology to provide payments and fraud prevention. Disabling or clearing this technology can affect your ability to return to a guest application or complete payment.

Changes and related terms

We may update this policy as the service or our practices change. The effective date appears at the top. For registration, refunds and card collection, read our service terms and website EULA.
